TMF Malaysia is looking for a Corporate Secretarial Assistant to join the team!
- Manage multiple clients with transactional and corporate governance work;
- Respond to general entity management requests, on a day-to-day basis from clients, auditors and internal staff;
- Manage client entity governance data as new clients onboard or exit and as governance data changes from time to time.
- Work with service teams to establish reporting to be pulled periodically from the database to support deadlines.
- Take on special projects (administrative procedures oriented, before authorities).
- Maintain client information databases and Viewpoint to support Entity Management services
- Draft resolutions for the Annual General Meeting as per different jurisdictions.
- Ensuring all Companies Act filings and registrations are made in a timely and accurate manner for the client entities.
- Assisting with entity incorporation and other local registrations and required statutory filings.
- To work simultaneously with various entity and file management platforms.
- Assist with the opening of bank accounts
- Update/maintain client information databases to support Entity Management services
- Support to business for client onboarding process for service delivery and implementation of tools
- Collaboration and coordination of service delivery with local offices, client and client service managers and onboarding teams.
- Expected to use viewpoint, workflow technology and any other technologies/tools that make day to day work more efficient, improve client service for our client or improve accuracy for service delivery
- Understanding of legal language and principles, research methods, court pleadings and processes, and other related matters.
- Excellent verbal and written communication skills. Advanced English verbally and in writing
- Knowledge of Microsoft Office applications
- Self-starter; proactive and solution-oriented
- Detail-oriented, analytical, flexible, and able to adjust easily to changing work demands
- Ability to handle sensitive and confidential information with care and in line with business requirements
