Discover the Role

As a Fund Administrator, you will provide day-to-day administrative support across a portfolio of alternative asset fund structures. The role involves collaborating with various TMF departments to effectively triage and resolve client queries through to completion.

Key responsibilities include coordinating company secretarial activities, supporting cash management processes, managing LP communications, facilitating capital calls and distributions, ensuring statutory filings are completed, and handling ad hoc fund administration queries.

The successful candidate will work closely with their immediate team and line manager to support the delivery of team and organisational objectives and projects.


Key Responsibilities
  • Generally support day-to-day administration for a book of clients, escalating any issues or queries with senior administrators and line manager
  • Become proficient in primary administration tasks including inward and outward payments, cdd support, client billing, and ISG processes
  • Provide assistance with new business enquiries and client onboarding
  • Generally provide assistance to the wider in relation to all aspects of fund administration

The primary focus of the role will be:

  • Generally support the day-to-day administration for a portfolio of fund clients with support from senior administrators and line manager 
  • Support the preparation and attendance of board meetings, ensuring board packs are circulated to client boards within expected timeframes 
  • Support the cash management of client bank accounts, ensuring payments are made accurately, in line with client recommendations and within deadlines
  • Support the company secretary function with the preparation of board minutes ensuring draft minutes are circulated to client boards within agreed SLA timeframes and prepared to a high standard
  • Support line manager and senior administrators for onboarding processes, ensuring that ACER documents are prepared within internal deadlines 
  • Work with corporate compliance and client compliance function to ensure we work within respective compliance frameworks
  • Work closely with the fund accounting team to ensure accounting queries are answered in a timely manner 
  • Take responsibility for the preparation of static data changes on LP registers And also share registers 
  • Prepare the sending of investor notices with ISG and Fund Accounting, including general correspondence, capital calls, distributions, tax correspondence, periodic audited and unaudited financial statements.
  • Generally ensure that all ad-hoc client queries are answered in a timely fashion and with sufficient quality
  • Generally ensure a high level of service delivery within allocated client portfolio 
  • Prepare statutory filings, ensuring 100% punctuality, where possible 
  • Be open to ad-hoc queries from clients, working with line manager and senior administrators to offer workable solutions 
  • Ensure all investor queries are answered in a timely fashion, working closely with fund accounting.
  • Attend all relevant training courses to ensure ongoing professional development
  • Comply with all of the TMF Jersey’s procedures and policies 
  • Develop and maintain effective relationships between individual members of the team and other departments 
  • Ensure time is recorded correctly onto the time recording system on a daily basis
  • Strong knowledge of client fee agreements ensuring additional revenue is raised in line with contracts 
  • Adhere to TMF Work From Home Policy

Key Requirements

Key Business Expertise:

  • 1+ years relevant experience is preferred 
  • Ideally studying towards relevant professional qualification 
  • Knowledge of Jersey and funds regulatory environment 

Candidate Profile:

  • Education and qualifications’ to at least ‘A’ level standard (essential)[DR1] 
  • Education to degree level in a relevant subject (desirable) 
  • Ideally studying towards relevant professional qualification 
  • Confident and professional manner
