We also build teams that will be responsible for handling international funds and supporting internal financial processes of the TMF Group.


Discover the Role

As Senior Fund Administrator you will take ownership of key operational activities that support the effective running of our clients’ funds. You will manage board meetings, investor notices, banking transactions and daily client interactions, ensuring that all administrative processes are executed accurately and efficiently.

At this role you will be given opportunity to work remotely anywhere from Poland.


Key Responsibilities
  • Manage day to day fund administration tasks in line with client agreements and internal procedures,
  • Set up and process banking transactions (payments, receipts, capital calls, distributions) based on instructions and accounting outputs,
  • Coordinate and prepare Board Meetings, including agenda packs and accurate minute taking,
  • Prepare and send investor notices, including distribution notices, capital call notices and general communications,
  • Maintain and update statutory, investor and fund documentation, ensuring accuracy and compliance with regulatory requirements,
  • Act as a primary operational contact for clients: respond to queries, manage requests and escalate issues where needed,
  • Support the onboarding of new investors and maintain investor registers,
  • Liaise closely with internal teams (Fund Accounting, Compliance, Banking etc.) to ensure smooth service delivery,
  • Monitor deadlines and deliverables, ensuring timely completion of all administrative tasks.



Key Requirements
  • Minimum of 3 years’ practical experience as an Fund Administrator (preferably Private Equity),
  • Background in Finance, Business, Economics or related field
  • Strong understanding of fund operations and governance (board meetings, investor communications, distributions, onboarding, documentation),
  • Ability to manage multiple deadlines, prioritize work and maintain high attention to detail,
  • Strong communication skills and confidence in dealing with clients and internal stakeholders,
  • Comfortable working in an international environment and collaborating with cross-country teams,
  • Proactive, organised, and able to operate independently with a sense of ownership,
  • Excellent of English (written and spoken).
