The HR Assistant assists in day to day operations the HR department for both local and group employees. Will be involved in HR administration matters related to the employee life cycle. Assists in some contacts with the employees and the HR projects for France.
Assists the HR Manager with its contact with the employee for Company policies, payroll related administration, absence management, and general labour conditions. Administrator ensures accurate and up to date reporting through the applicable Global and Local HR systems.
HR Administration :
- Update personal files & records of the employees
- Assist in the preparation of HR certificates, Employee deployments certificates, foreigners work authorizations…
- Act a point of contact with the Occupational Medecine service
- Handle parts of employees onboarding/leaving processes (work contract establishment, Health & Coverage affiliation, …)
- Provide the payroll provider with the variables for payroll establishment (sick leaves, payments, meal vouchers…)
- Coordinates meal voucher attribution for the employees
- Helps maintain employee data in all our HRIS and Hiring portals
- Prepare Organization Chart updates with any structure and employees changes
- Administrate (in)voluntary exits: resignations, retirement, redundancy, dismissal, long term sickness, …
HR Business Partner :
- Assist with onboarding sessions and processes
- HR Referent for youth employment
- Prepare for arrival, support induction, follow up and notify probation ending
- Supports in internal auditing procedures (ISO, ISAE)
- Support Performance Management Process and promotion processes
- Assist and support recruitment process locally
- Support and coordinate HR communication for the local office
- Assist in preparation of Management presentations
- Assist in HR Communication preparation
Training :
- Coordinates our training offerings with managers
- Advertise our internal training offerings and monitors the Training plan
- Register, administrate and monitor training requests to support employees’ professional qualification
- BAC+4 or BAC+5 in HR diploma
- At least first experience (internship, apprenticeship) in HR
- Great relationships skills
- Curiosity, rigor, organization, result orientation , high sense of confidentiality
- Strives for high standards of HR delivery
- Has a strong understanding of processes needed to undertake role successfully
- Some basic Knowledge of local labour low, local legal regulations and requirements
- Mindful of the TMF values.
- Communicate information in a clear and concise manner (verbal and written work) to both internal and external stakeholders
- Good knowledge of the Office Pack (Excel, PPT, …)
