Discover the Role

The Junior Payroll Specialist will assist colleagues with daily tasks to manage a portfolio of clients. This role involves performing a variety of payroll preparation, calculation, and daily deliverables to ensure excellent service to a portfolio of assigned clients. All activities will be carried out under close supervision.


This is a parental cover position based in Stockholm, reporting directly to the Payroll Manager.


Key Responsibilities
  • Assist colleagues with daily tasks to manage a portfolio of clients.
  • Perform payroll preparation, calculations, and ensure timely delivery of services under close supervision.
  • Ensure collection of payroll processing documents and other required information.
  • Check input data documents for compliance with local regulations and employment contracts.
  • Prepare payroll calculations when requested by senior staff.
  • File documents according to the established system and maintain complete, well-organized client files.
  • Assist in preparing client reports as per their requirements, under senior staff guidance.
  • Meet established deadlines for each client.
  • Check monthly accuracy of processed information and prepare supporting account analyses when requested.
  • Maintain strict confidentiality of payroll data, sharing only with authorized personnel.
  • Manage client relationships by:
    • Obtaining necessary documents and information.
    • Attending client meetings or visiting client premises when required.
    • Responding to client queries within 8 working hours, or providing an estimated response time.
  • Submit all client reports to senior staff for review and approval before sending.
  • Draft letters/emails to clients regarding payroll or administrative matters for senior staff review.
  • Prepare daily timesheets detailing work performed and time spent per client.
  • Keep desk clean and well-organized.

Key Requirements
  • Relevant education in payroll or salary administration in Sweden is required.
  • Fluency in Swedish is essential as well as proficiency in English 
  • Previous working experience in payroll is required – this includes internship experience plus some hands-on professional experience in a payroll role.
  • Strong attention to detail and good organizational skills.
  • Action-oriented and proactive in taking initiative.
  • Ability to maintain confidentiality and handle sensitive payroll data responsibly.
  • Good communication skills and responsiveness in client interactions.
  • Willingness to assist senior staff and work collaboratively.
  • Basic understanding of payroll processes and local compliance requirements.
  • Comfortable working under supervision and learning on the job.
