We are looking for a proactive and detail-oriented Corporate Legal Specialist to join our team. In this role, you will support a portfolio of local and international clients by managing corporate secretarial, legal, and administrative matters while ensuring compliance with Polish regulations.
The ideal candidate is highly organized, capable of working independently, and committed to delivering exceptional client service in a dynamic professional environment.
Corporate Operations
- Manage corporate secretarial and legal administration activities for client entities.
- Ensure all required filings and documentation are submitted accurately and on time to the relevant Polish authorities.
- Prepare legal documents, corporate resolutions, reports, agreements, and other statutory documentation.
- Coordinate meetings with clients, authorities, and third parties when required.
- Maintain accurate client records, project tracking, invoicing, and internal databases.
- Continuously improve administrative processes and ensure efficient document management.
- Perform additional duties aligned with professional expertise and business needs.
Compliance & Governance
- Monitor corporate compliance requirements and support adherence to local regulations.
- Stay informed about developments and changes in Polish corporate legislation.
- Identify missing information, documentation gaps, or potential compliance issues.
- Escalate out-of-scope services and complex matters to senior legal professionals.
- Proactively identify opportunities for process improvements and operational efficiencies.
- Ensure all activities are performed in line with company policies, procedures, and quality standards.
Client Relationship Management
- Draft correspondence to clients and public authorities regarding corporate matters.
- Prepare responses to client inquiries and support the delivery of high-quality services.
- Participate in operational meetings with client representatives.
- Build and maintain strong client relationships through professional communication and responsiveness.
- Ensure timely collection of required client information and documentation.
- Support business development initiatives and contribute to client retention and growth.
Knowledge Sharing
- Support colleagues through knowledge sharing and internal training activities.
- Contribute to a collaborative and high-performing team environment.
- Degree in Law, Business Administration, Corporate Governance, or a related field.
- Previous experience in corporate legal services, company secretarial services, legal administration, or a similar role.
- Knowledge of Polish corporate law and regulatory requirements.
- Ability to prepare legal and corporate documentation with a high level of accuracy.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to work independently while managing multiple priorities.
- Client-focused mindset with a proactive and solution-oriented approach.
- Proficiency in Microsoft Office applications.
