The Payroll Subject Matter Expert (SME) is a senior specialist responsible for providing expert-level guidance, technical leadership, and operational excellence across international payroll processes. This role supports a portfolio of clients by serving as the primary escalation point for high‑complexity payroll issues, ensuring compliance, accuracy, and strong internal controls. The Payroll SME plays a key part in driving process standardization, automation initiatives, and continuous improvement across the payroll function.
As this position supports international payroll operations aligned with KL & ANZ regions, it requires early‑morning shift coverage and the ability to work extended hours during peak cycles. The role is essential in safeguarding service quality, supporting audits, enhancing knowledge sharing, and strengthening overall payroll governance.

Key Responsibilities
  • Serve as the primary subject matter expert for payroll processes, systems, and statutory legislation, providing expert guidance to internal teams and stakeholders.

  • Resolve high-complexity payroll issues and escalations, collaborating with internal teams and external authorities when necessary.

    Conduct detailed quality reviews of payroll outputs to ensure adherence to internal controls (ISAE 3402, ISO27001), client requirements, and statutory obligations.

  • Lead or support process improvement initiatives, including standardization, automation, and implementation of best practices across operations.

  • Provide expert input during audits and compliance reviews, including documentation, root‑cause analysis, and corrective action recommendations.

  • Maintain and continuously update process documentation, SOPs, and knowledge bases to ensure consistency and strong knowledge retention.

  • Contribute to the onboarding and training of new team members, sharing in-depth expertise and supporting capability development across the payroll team.

  • Work with cross‑functional teams (Operations, Finance, IT) to ensure seamless integration and optimization of payroll systems and processes.

  • Monitor regulatory and legislative changes, assess their operational impact, and support the implementation of updates in payroll workflows.

  • Provide expert insights during client service reviews and contribute to continuous service improvement planning.

  • Support early‑morning and extended shift coverage aligned to international payroll cycles, especially KL & ANZ payroll timelines.


Key Requirements
  • Expert-level knowledge of payroll processes, systems, and statutory/international payroll legislation.

  • Strong experience resolving complex payroll scenarios and serving as an escalation expert.

  • Advanced proficiency in payroll systems such as SAP, Visma, Softland, Sage and strong Microsoft Excel capabilities (advanced formulas, macros, data modeling).

    High accuracy and attention to detail with strong analytical and problem‑solving skills.

  • Excellent communication and stakeholder‑management abilities, with confidence in providing expert guidance to internal teams and clients.

    Demonstrated ability to lead standardization, automation, and process improvement initiatives.

  • Strong documentation, knowledge‑management, and training capabilities.

    Proactive and adaptable mindset with a commitment to operational excellence, compliance, confidentiality, and regulatory adherence.

  • Ability to work independently while managing multiple priorities and maintaining high service quality.

  • Experience supporting audits, compliance reviews, legislative impact assessments, and quality control frameworks.

  • Educational background in Accounting, Finance, HR, Business, or related fields preferred; payroll certifications (FPC, CPP, national payroll certifications) are an added advantage.

  • Shift Requirement: Must be willing to work early‑morning and extended shifts aligned with KL & ANZ payroll cycles: 04:30 AM–01:30 PM IST / 05:30 AM–02:30 PM IST / 06:30 AM–03:30 PM IST

  • This is an International Payroll role requiring support for complex, multi-region payroll operations.
