We are looking for someone with a proactive profile, results-oriented, fluent in English and with experience with administrative activities in the legal area.
- MS Excel Management: Utilize MS Excel to update various trackers and checklists, ensuring all data is accurately recorded and maintained. Generate customized reports and pivot tables to organize, sort, and present extracted data in a clear and concise manner;
- Data Integrity Checks: Conduct regular data integrity checks to ensure all filings and updates are accurately reflected in the system;
- Digital Minute Book Integration: Coordinate the integration of digital minute book extraction to maintain up-to-date and complete corporate records;
- Project Assistance: Assist in various projects to optimize the utilization of systems and enhance the overall efficiency of the team;
- System Updates Coordination: Coordinate with system support teams on any new updates and keep the team informed of all system improvements and changes;
- Document Management: Upload documents to the systems and verify their correctness;
- Training and Support: Provide training and support to team members on using the systems and workflow tools;
- Database Audits: Conduct audits of the database to ensure data integrity and compliance with organizational standards;
- Experience: Minimum of 1 year of experience working with entity and document management platforms and workflow systems;
- Document Understanding: Strong understanding of corporate secretarial documents to extract relevant data for system updates;
- Language Proficiency: Fluent in English, both written and spoken;
- MS Office Skills: Proficiency in MS Office, with a focus on MS Excel;
- Attention to Detail: Detail-oriented, analytical, flexible, and able to adjust to changing work demands;
- Team Experience: Experience working on cross-functional teams in a highly matrixed environment;
- Organizational Skills: Strong organizational and time management skills;
- Workload Management: Analytical, flexible, and able to effectively prioritize workload;
- Self-Motivation: Self-motivated and able to work both independently and as part of a team;
