- Answer, screen, and direct telephone calls; take and relay messages efficiently
- Welcome visitors and direct them to the appropriate contact or meeting location
- Maintain up-to-date awareness of staff availability and movements
- Provide general administrative and clerical support
- Receive, sort, and distribute couriers and deliveries in a timely manner
- Schedule meeting rooms and coordinate catering for internal and external meetings
- Ensure IT equipment in meeting rooms is operational and report any issues promptly
- Maintain cleanliness and readiness of the business centre and meeting rooms
- Serve and clear catering from meeting rooms after use
- Issue and record temporary visitor passes
- Distribute and manage parking cards
- Maintain appointment scheduling systems (manual or digital)
- Ensure the reception area remains tidy and welcoming at all times
- Maintain pantry areas, manage dishwashers, refill coffee machines, and report malfunctions
- Follow procedures for handling challenging or disruptive visitors
- MBO degree or equivalent, preferably in secretarial studies or office management
- Minimum of 2 years’ experience in office management or a similar role
- Strong command of Dutch and English, both written and spoken
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office applications
- 26 holidays per year (40 hour work week)
