Discover the Role

As a Legal Back Officer you will be responsible, under the supervision of the Legal Team Leaders (TLs), Legal Account Managers (AMs) or Back Office Manager (BOM), if required, of administrative tasks entrusted to the Team - affecting to clients within the department portfolio. Responsible for maintaining the company’s registers. Preparation and organization of the appropriated control files, reporting to the corresponding authorities, review and preparation of the necessary administrative documentation and in general coordination to comply with the control processes established within the department.


Key Responsibilities
  • Ensures clients documentation is in good standing at all the times and reports to supervisor if it´s not the case, including the Compliance requirements at TMF
  • Handles and coordinates the flow of all necessary documents related to the client company, such as contracts, notary deeds, banking contracts, tax forms, correspondence, notifications and company documents in general, etc.
  • Ensures procedures are followed and deadlines met within its team and reports any incidence to this respect to the corresponding manager.
  • Assists legal teams with day to day administrative work                                            
  • Performs a variety of activities for the correct maintenance of the client company; updates registers and official forms, such as tax forms, compliance forms, AML searches, etc.
  • Coordinates administrative processes related to incorporation of companies and/or shelf companies; assists with invoicing, payments, registering and handing over company files.
  • Researches and resolves problems of the involved teams in relation with the document managed.
  • Responsible for Debt collection for his/her client’s
  • Assistance with the preparation, filling or registration of different forms and other documents such us D4, D8, D5, D1, Bank of Spain report, PoA, minutes, deeds review, Digital certificate request, Electronic mailbox request, Foreign ID number request and 030 forms, 036 forms, 600 forms, 840, form and other communication to be filed within the Tax authorities.
  • Monitors and controls cross check process regarding correspondence and notifications received related to client entities.
  • Tasks out of the offices: goes to the notary offices, banks and different authorities’ offices to collect and submit documents and all kinds of forms
  • Ensures that appropriate responses and actions related his/her clients are taken with respect to request of information from the Public Administrations (Tax Authorities, Bank of Spain, Ministry of Industry, others).

Key requirements
  • No academic background in Law is required, but will be considered a plus
  • Experience in administration or back office support
  • Advanced or proficient English
  • Excellent written and communication skills in Spanish
  • Proficiency in MS Office package
  • Strong team-playing skills
  • Quick-learning and flexibility towards changing environments
  • Excellent organization skills and adaptability to a high multitasking environment
