Discover the Role

Reporting to the Market Head of North Asia, this role provides dedicated executive‑level secretarial and administrative support to the Market Head, ensuring well‑managed daily activities, clear communications, and smooth coordination across the region. Key responsibilities include managing the executive’s calendars, travel, meetings, documents, and regional reporting with professionalism and strong organizational capability. 


Key Responsibilities
  • Coordinate and manage daily executive activities, including preparing meeting agendas and briefing materials, arranging venues and catering, and ensuring seamless end‑to‑end support for all internal and external meetings.
  • Arrange and oversee complex travel itineraries—including local, regional, and international trips—ensuring all documentation (visas, approvals, travel packs) is complete and handling itinerary changes promptly and efficiently.
  • Partner closely with internal departments and regional offices across North Asia (Hong Kong, Mainland China, Taiwan, Japan, and South Korea) to ensure operational alignment, timely information flow, and effective communication with both internal and external stakeholders.
  • Lead regional reporting coordination by working with sub‑regional teams to ensure timely submission of updates and business reports, while preparing high‑quality business documents such as presentation decks, reports, briefing notes, and meeting summaries.
  • Support projects and cross‑functional initiatives as assigned by the Market Head, ensuring progress tracking and on‑time delivery of key milestones, while providing ad hoc administrative and operational support to the Market Head and the broader leadership team. 

Key Requirements
  • University graduate with a minimum of 5 years’ relevant experience in executive support, ideally gained in a multinational organization working closely with senior leadership.
  • Excellent command of written and spoken English, Cantonese, and Mandarin.
  • Proficient in MS Office applications, particularly Word, Excel, and PowerPoint, with strong document‑preparation and presentation skills.
  • Exceptional organizational, time management, and project coordination abilities, with the capacity to manage multiple priorities in a fast‑paced environment.
  • Outstanding interpersonal and communication skills, with confidence in interacting with stakeholders at all levels across regions and cultures.
  • Proactive, resourceful, and able to work independently with minimal supervision while demonstrating strong problem‑solving capabilities.
  • High level of integrity, professionalism, and discretion, with a strong commitment to maintaining confidentiality.
