The Office Administration Supervisor oversees daily office and facilities operations, leading the administration team to ensure a smooth, efficient, and safe workplace. The role supports policy implementation, vendor coordination, and office projects across two floors serving approximately 250 employees.
- Provide daily administrative and facilities support to ensure smooth and efficient office operations for approximately 250 employees across two office floors.
- Supervise and guide the administration team in delivering high‑quality services, including front desk operations, courier and mail handling, fixed asset management, office supplies control, and storage maintenance.
- Assist in the development, enhancement, and implementation of administrative guidelines, procedures, workflows, and safety/security protocols to improve operational effectiveness and optimize resource utilization.
- Coordinate office space planning activities and support renovation, relocation, and workplace enhancement projects.
- Liaise with landlords, vendors, and service providers on facility maintenance, procurement, and renovation matters to ensure timely and efficient service delivery.
- Assist in preparing annual budgets and monitor office expenditures to ensure costs remain within approved limits.
- Prepare administrative reports, maintain documentation, and undertake ad hoc tasks or projects as assigned.
- University graduate in Business Administration, Management, or related disciplines.
- Minimum of 5 years’ experience in office administration or facilities support, including at least 2 years in a supervisory or team‑lead role within sizable organizations. Experience in professional services firms is an advantage.
- Hands‑on experience in reviewing, enhancing, and implementing administrative procedures and guidelines.
- Strong problem‑solving skills; proactive, detail‑oriented, and able to perform effectively in a fast‑paced environment.
- Responsible, well‑organized, and capable of managing multiple tasks while maintaining high service standards.
- Strong interpersonal and communication skills, with the ability to interact confidently and effectively with staff at all levels.
- High level of integrity and professionalism, with a strong commitment to company values and ethical conduct.
- Good command of written and spoken English and Cantonese.
- Proficient in MS Office applications.
