The Payroll Specialist is an experienced payroll professional responsible for independently managing complex payrolls for a defined portfolio of clients. The role ensures accurate, timely, and compliant payroll delivery while maintaining strong client relationships and supporting junior team members. The Payroll Specialist applies deep technical knowledge and problem-solving skills to handle advanced payroll scenarios, support audits, and contribute to continuous improvement. This role plays a critical part in ensuring service excellence, compliance, and operational efficiency within the payroll delivery team and marks a key transition from operational execution to technical leadership.
- Independently processes complex payrolls, including advanced calculations, statutory updates, and multi-country components where applicable.
- Ensures compliance with all local tax, social security, and labor regulations by monitoring and implementing legislative changes impacting payroll.
- Reviews and validates payroll outputs, ensuring accuracy and completeness prior to finalization and client delivery.
- Provides day-to-day guidance and informal coaching to junior team members (JB1–JB2), reviewing their work and supporting their development.
- Acts as a key point of contact for complex client queries, audits, and escalations; participates in client calls and meetings as required.
- Supports year-end activities, including reconciliations, annual filings, and statutory reporting.
- Contributes to new client onboarding, supporting system setup, parallel runs, and transition to business-as-usual (BAU).
- Collaborates with client stakeholders (e.g., HR and Finance) to ensure accurate and timely payroll inputs and outputs.
- Identifies and proposes improvements to payroll processes, focusing on enhancing accuracy, efficiency, and standardization.
- Advanced technical knowledge of payroll processes, systems, and local legislation.
- Proficiency in Microsoft Excel (e.g., advanced formulas, pivot tables) and experience with payroll systems such as SAP, Visma, Softland, and Sage.
- Strong analytical and problem-solving skills to manage complex payroll scenarios and resolve discrepancies.
- High attention to detail and accuracy when processing and reviewing payroll data and reports.
- Effective communication and interpersonal skills to manage client relationships and mentor junior team members.
- Strong organizational and time management abilities to handle multiple client accounts and meet strict deadlines.
- Ability to work independently while exercising sound judgment in decision-making.
- Commitment to confidentiality, data protection, and compliance with internal controls and external regulations.
