The HR & Payroll Assistant is responsible for supporting our Belgian HR & Payroll team by performing administrative and operational tasks related to payroll processing and employee lifecycle transactions to guarantee service quality across the client portfolio. Working under close supervision, the HR & Payroll Assistant will also assist in the management of reports, process client payments in accordance with internal processes, compliance requirements, and internal tools. For the right candidate, our team and company will provide effective training workshops so that the candidate can understand the basics of Belgian payroll regulations and provide support to the team in line with the required responsibilities.
- Process client payments in accordance with internal processes and compliance requirements.
- Proactively report on payment statuses and follow up with the team and Supervisors regarding:
- Missing payment information.
- Missing control documents.
- Missing funds.
- Approaching payment deadlines.
- Ensure compliance and follow required standard control procedures (e.g., according to our ISAE3402 certification).
- Actively participate in yearly audits and ensure compliance procedures are aligned with ISAE requirements.
- Assist with the invoicing process and follow up on payments that need to be made for clients.
- Support administrative tasks during quieter periods.
- Participate in our training plan and work on your own development by identifying growth opportunities.
- Understand and manage access to our internal workflow tools (Horizon, Enate, ShareFile).
- Establish positive working relationships with the payroll team and other payment stakeholders.
- Answer daily emails and tickets.
- Act as a team player and contribute to the growth of the team with your ideas.
- Good knowledge of English; French and/or Dutch is required.

Education
- Secondary education diploma or equivalent.
- Relevant studies in Administration, HR, Accounting, Business, or a related field are an advantage.
Experience
- Previous administrative experience is beneficial but not required.
- Internship or entry-level experience in HR, payroll, customer service, or shared services is an advantage.
